How to use CertVault as an Employer

Step 1

Create your employer account

Sign up at certvaultapp.com/employer/signup. All employer accounts start with a 30-day free trial with full access to every feature.

Complete your company profile

Add your company name, industry, and contact details. Workers see who is contacting them before they respond — a complete profile significantly improves acceptance rates.

Step 3

Search for workers

CertVault has two ways to find workers:

  • AI Search — type plain English like "offshore crane operator with BOSIET based in Perth"; Claude AI parses your query and returns scored, ranked results
  • Filter Search — use dropdowns for industry, location, availability, and work rights

Send contact requests

Shortlist workers you are interested in, then send a personalised contact request with a message explaining the role. When a worker accepts, their full contact details (email, phone, messaging apps) are revealed to you.

Add workers — search or invite

There are two ways to bring workers into your workforce:

  • Search & contact — find workers already on CertVault using AI search or filters, send a contact request, and add them once they accept
  • Invite directly — send your existing workers an email invite or a shareable link; they sign up, upload their documents, and appear in your workforce automatically — no searching required

Manage your workforce

Once a worker is in your workforce you can track their full lifecycle, assign roles, link them to sites, and manage their onboarding — all from one page.

  • Lifecycle status: Onboarding → Active → On Leave → Offboarded
  • Role / position (e.g. Crane Operator, IR, Captain)
  • Site assignment

Monitor compliance

The compliance board on your dashboard shows every worker's certification status at a glance. Red means something is expired, amber means expiring within 60 days, green means everything is current. Click any worker to see the full detail and view their actual documents.

💡 You can mark any document as "Not required" for a specific worker — it will then be excluded from compliance warnings across your dashboard, workforce list, and POB board.

Manage site rotations (FIFO / offshore employers)

If you manage a rotational or offshore workforce, enable FIFO mode in your profile settings to unlock the full Site Management module.

  • POB Board — live view of who is on site, travelling, or scheduled
  • Swing Rotation Calendar — Gantt view of all rotations per crew
  • Crew Manager — group workers into named crews with colour coding
  • Travel Manifests — inbound/outbound passenger lists per site

Frequently asked questions

How do I verify a worker's certifications are genuine?

Every file is virus-scanned on upload. Workers upload original documents directly — no manual entry. You can view the actual certificate files from their profile. CertVault also runs an AI completeness check comparing CV claims against uploaded documents.

What is the compliance board?

A colour-coded view of every worker's cert status: green (all current), amber (expiring within 60 days), red (expired). It's on your dashboard and updates in real time.

Can I mark a cert as not required for a specific worker?

Yes — on a worker's compliance tab, click "Not required" on any document. It will no longer trigger warnings on your dashboard, workforce list, or POB board. You can undo it at any time.

What is FIFO / site management mode?

An optional module for rotational and offshore employers. Enable it in your profile to unlock the POB board, swing calendar, crew manager, and travel manifests.

How do expiry alerts work?

You receive a weekly email listing every worker with an expiring or expired document. The compliance board on your dashboard also gives a live view at any time.

Can I invite my existing workers to CertVault?

Yes — and this is the recommended way to onboard workers you already employ. From My Workforce, click "Invite Worker" to send an email invite or copy a shareable link. The worker signs up, uploads their documents, and appears in your workforce automatically. You do not need to search for them.
