Marine crew competency management
with the certificates to prove it

Every rank on every vessel, checked against the STCW, CoC, flag-endorsement, DP and medical evidence actually on file. Expiry alerts 60 days out. Exports an inspector will accept.

What is seafarer competency management?

Seafarer competency management is proving that every crew member holds the current, valid qualifications their rank requires — STCW endorsements, a Certificate of Competency, flag-state endorsements, a medical certificate and vessel-specific certs such as DP or GMDSS — and being able to show that evidence to a flag inspector, port state control, a charterer or an ISM auditor on demand.

In practice that is a competency matrix (rank × required certificate) kept current across the whole fleet. The hard part is not building the matrix; it is keeping every cell backed by a real, unexpired document while crew rotate on and off across multiple vessels and flags.

How it works

Crew certification management in four steps

1

Crew upload their own documents

Each seafarer keeps one free profile - STCW, CoC, endorsements, medicals, DP logbook, sea-time. They share it with you by link or contact request.

2

Documents are verified, not just listed

Every file is virus-scanned and dated. An AI completeness check flags any CV claim with no certificate behind it.

3

Assign crew to vessels

Build a crew list per vessel. The competency board shows every rank against its required certificates - current, expiring, or missing.

4

Prove it on demand

Sixty-day expiry alerts keep the board green. Export a timestamped compliance report for a flag inspection, PSC, charterer vetting or ISM audit.

Which certificates does each rank need?

A typical offshore-support-vessel matrix. Your board is built from your own rank requirements — these are illustrative, and flag-state and charterer rules vary.

What you get

Crew competency management, end to end

Per-vessel competency board

Live crew list per vessel with each seafarer's certificate status at a glance. Multi-vessel operators switch fleet-wide in one click.

Expiry tracking across the fleet

60-day alerts for STCW revalidation (5-year), ENG1 / AMSB medicals (1-2 years), DP revalidation, GMDSS, and flag endorsements tied to the underlying CoC.

Search verified crew in plain English

"Chief engineer with DP Operator and Marshall Islands endorsement, available from March." AI returns a scored shortlist of verified seafarers.

Rotations and sign-on / sign-off

4-on-4-off, 6-on-6-off or custom cycles. Crew-change planning projects the crew list forward and shows who is due off before their cert lapses.

Crewing-agent access

Invite agent staff into your account with their own logins and MFA. They maintain the pool; you see the same board. No shared passwords.

Audit-ready exports

CSV / PDF compliance reports with a full timestamped trail of every verification, sea-time entry and crew assignment.

Technical competency vs behavioural assessment

Technical competencyis what a certificate proves: the seafarer has completed the training and holds the licence for the rank. CertVault is built to verify and track exactly that — the documents, their dates, and the gaps.

Behavioural competency— leadership, situational awareness, bridge/engine-room resource management, how someone actually performs on watch — is assessed by your own senior officers, a superintendent or a training provider, not by software. CertVault does not score it. What it does is give the assessment a home: the signed appraisal is stored on the crew member's profile as a dated document, so behavioural and technical evidence sit together in one record and both appear in the export you hand to a charterer or auditor.

The result is one honest competency record per seafarer instead of a certificate spreadsheet in one place and appraisal PDFs in another.

What it replaces

BeforeSpreadsheet competency matrix
With CertVaultMatrix is generated from the documents on file. A cell cannot say "valid" without a scanned, dated certificate behind it.
BeforeEmail chasing before every crew change
With CertVaultCrew maintain their own profiles; expiry alerts go to both the seafarer and the operator 60 days out.
BeforeLegacy crew-management suites
With CertVaultNo per-seafarer licence, no implementation project. Free for crew, flat team pricing for operators, live in an afternoon.
BeforeAgency-held records you cannot see
With CertVaultOne shared record. Operator, crewing agent and seafarer all look at the same verified documents.

Crew competency management — FAQ

What is seafarer competency management?
Seafarer competency management is the process of proving that every crew member on a vessel holds the current, valid qualifications their rank requires - STCW basic and advanced endorsements, a Certificate of Competency, flag-state endorsements, a medical certificate, and any vessel-specific certs such as Dynamic Positioning or GMDSS - and being able to show that evidence to a flag-state inspector, port state control, a charterer or an ISM auditor on demand. In practice it means a competency matrix (rank vs required certificate) kept current across the whole fleet.
What does a crew competency management system need to do?
Four things: hold a verified copy of every certificate rather than a spreadsheet cell; map each rank to the certificates it requires so gaps are visible per vessel; warn before anything expires (STCW revalidation is a 5-year cycle, medicals 1-2 years, DP revalidation often annual); and export the evidence in a form an inspector or auditor will accept. CertVault does all four, with crew members maintaining their own documents.
How does CertVault verify a seafarer's certificates?
Every uploaded document is virus-scanned and stored against the seafarer's profile with its issue and expiry dates. An AI completeness check compares the seafarer's CV against the documents actually on file and flags any claimed qualification that has no supporting certificate. Operators see the documents themselves, the scan status and the completeness score - not just a tick in a spreadsheet.
Does CertVault handle behavioural competency assessment?
CertVault is a documented-competency system: it tracks the certificates, endorsements, medicals and sea-time records that prove technical competency. Behavioural or soft-skill assessments (leadership, situational awareness, BRM/ERM-style appraisals) are carried out by your own assessors or a training provider; the resulting assessment record can be stored on the crew member's profile as a dated document so it sits alongside the technical evidence and is included in exports.
Can crewing agents and vessel operators share one competency record?
Yes. Each seafarer owns one profile and shares it with any operator or crewing agent by link or contact request. An operator can also invite crewing-agent staff into its own CertVault account with their own logins, so the agent maintains the pool and the operator sees the same live competency board.
How much does crew competency management software cost?
CertVault is free for seafarers. Operators and crewing agents get a 30-day free trial with no credit card, then flat monthly team pricing by number of staff logins (from A$199/month ex-GST for up to 5 seats) with every seat getting the full product - search, competency board, rotations, payroll and exports. See certvaultapp.com/pricing for the current ladder.
